Building materials wholesale, 140 employees, three depots

One stock figure, three depots

A builders merchant whose three depots each held their own stock figure, and none of the three matched the others or the books.

Where they started

The situation

Each depot had grown its own way of working and its own stock list. A transfer between depots was a phone call and a note, and the note was the only record that it had happened.

The month end invoice run took two days because half of it was checking whether a delivery had really gone out.

What we did

The work

Odoo Inventory across three warehouses with real internal transfers, so a van leaving one depot moves stock rather than a figure on a list.

Purchase with reordering rules per depot, Accounting for the invoice run, and a B2B portal where trade customers see their own prices and their own order history.

Cycle counting was the unglamorous part and the one that made the number move: a short count every morning instead of a shutdown every December.

What changed

The result

Stock accuracy measured by cycle count went from 89% to 99.2% in five months.

Invoices now leave the same day the goods do, because the despatch and the invoice are the same chain. Live in sixteen weeks, one depot at a time, with the smallest first.

The first count after go-live was the first time in years that all three depots agreed.

A quick scan is one week, at a fixed price, and the report is yours either way.

What a quick scan is

  • One week. Two consultants, two days on site, the report a week later.
  • Fixed price. Quoted before we start, and it does not move.
  • The report is yours. Whether you continue with us or not, and whoever you take it to.

Brightmoor is a fictional company created for demonstration purposes. This project did not happen, the client does not exist, and the before and after figures are illustrative.
